Patriots Care Fund (“PCF,” “we,” “us,” or “our”) is a Colorado nonprofit organization. We are committed to protecting the privacy of everyone who visits our website or interacts with us. This Privacy Policy explains what information we collect, how we use it, with whom we share it, and the choices available to you.

This policy applies to information collected through our website at patriotscarefund.com, our contact form, and our donation pages. It does not apply to third-party websites linked from our site.

By using our website or submitting information to us, you consent to the collection and use of your information as described in this Privacy Policy. If you do not agree with this policy, please do not use our website or submit personal information to us.

1. What Information We Collect

A. Information You Provide Directly

We collect information you choose to give us, including:

  • Your name, mailing address, email address, and telephone number
  • Donation amount and, where applicable, payment method (see Section 1.C regarding payment processing)
  • Any message or inquiry you submit through our contact form
  • Your preferences regarding communications from us

In limited circumstances, PCF may collect sensitive personal information, including health information about program beneficiaries, government identification numbers collected for donation processing, or other sensitive data categories. We collect this sensitive personal information only when necessary for the specific purpose for which it is collected and with your explicit consent where required by law. Sensitive personal information is subject to additional access controls and is accessible only to authorized personnel.

B. Information Collected Automatically

When you visit our website, we may automatically collect certain technical information, including:

  • Internet Protocol (IP) address
  • Browser type and version
  • Pages visited and time spent on each page
  • Referring website address

C. Cookies and Tracking Technologies

Our website uses cookies and similar technologies. Cookies are small data files placed on your device that help us understand how you use our site. We use the following categories of cookies:

  • Essential cookies. Required for basic website functionality, such as navigation and form submissions. These cannot be disabled.
  • Performance cookies. Help us understand how visitors use our website so we can improve it. We use Google Analytics for this purpose. Google's privacy policy governs Google's handling of that data and is available at policies.google.com.
  • Marketing cookies. We permit third-party advertising platforms, including Google Ads, Meta/Facebook Pixel, to collect information about your visits to our website for the purpose of delivering relevant advertising. Those platforms' privacy policies govern their use of your data. You may opt out of interest-based advertising through your browser settings or at optout.aboutads.info.

You can control cookie settings through your browser. Disabling certain cookies may affect website functionality.

D. Payment Processing

PCF does not collect or store credit card or debit card numbers. All payment transactions are processed through Stripe, Inc. That processor's privacy policy governs how your payment information is handled.

E. Contact Form Submissions

Our website's contact form is powered by Google Forms. Information you submit through that form is transmitted to and stored on Google's servers and linked to PCF's designated account. Google's privacy policy governs Google's handling of that data and is available at policies.google.com.

2. How We Use Your Information

PCF uses the information we collect for the following purposes:

  • To process and acknowledge your donation and issue charitable contribution receipts as required by law
  • To respond to inquiries and requests submitted through our contact form or by other means
  • To send you program updates, newsletters, and fundraising communications, consistent with your preferences
  • To comply with legal and regulatory obligations, including Colorado charitable solicitation requirements and applicable federal tax law
  • To maintain and improve our website and communications
  • To prevent fraud and protect the security of PCF's systems

We do not use your information to make automated decisions that produce legal or significant effects on you. We do permit third-party advertising platforms to collect information through cookies on our website for the purpose of delivering relevant advertising; see Section 1.C (Cookies and Tracking Technologies) for details and opt-out options.

3. How We Share Your Information

PCF does not sell, rent, or trade your personal information. We do not share your personal information with third parties for their own marketing purposes. We may share your information in the following limited circumstances:

  • Service providers. We work with vendors who help us operate our website, process donations, and communicate with donors. These vendors are permitted to use your information only to provide services to PCF and are required to protect it appropriately. Current vendors include: Stripe, Inc. (payment processing) and Google (Forms and Analytics).
  • Legal compliance. We may disclose information when required by law, court order, or government authority, or when we believe disclosure is necessary to protect the rights or safety of PCF, our donors, or the public.
  • Organizational transfers. If PCF merges with another organization, transfers its charitable programs, or undergoes a similar organizational change, donor information may be transferred as part of that transaction. We will notify affected donors of any material change in how their information is handled.

In all other circumstances, we will not disclose your personal information without your consent.

4. Communications and Opt-Out

PCF may send you emails about our programs, fundraising campaigns, and organizational updates. Every such email will include an unsubscribe link and our physical mailing address, consistent with the federal CAN-SPAM Act, 15 U.S.C. § 7704.

You may opt out of communications from PCF at any time by:

  • Clicking the “unsubscribe” link in any email we send you
  • Emailing us at wndytng@gmail.com
  • Writing to us at the address in Section 8 below

We will honor opt-out requests promptly. Please note that even after opting out of marketing communications, we may still contact you regarding your specific donation, a legal obligation, or an urgent matter affecting your relationship with PCF.

5. Your Privacy Choices

PCF voluntarily commits to the following practices:

  • Access. You may request confirmation of what personal information PCF holds about you.
  • Correction. If information we hold about you is inaccurate, you may request that we correct it.
  • Deletion. You may request that we delete your personal information. We will honor reasonable deletion requests to the extent we are not required to retain information by law. See Section 6 regarding retention.
  • Portability. You may request a copy of the personal information you have provided to PCF in a commonly used format.
  • No retaliation. We will not deny services, impose different terms, or otherwise penalize you for exercising any of the choices above.
  • Withdraw consent. Where we rely on your consent to process your personal information, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of any processing that occurred before you withdrew consent.

To make any of these requests, contact our Privacy Officer as described in Section 8. We will respond within 45 days of receipt of your request. If we need additional time, we will notify you within the initial 45-day period and will respond no later than 90 days from receipt.

If we decline to take action on your request, we will explain why and describe any available appeal or further steps.

6. Data Retention

PCF retains donor records, donation acknowledgments, and related correspondence for a minimum of seven years following the end of the tax year in which the donation was made, consistent with IRS recordkeeping guidance for charitable organizations.

Contact form submissions are retained for two years after the inquiry is resolved, or longer if the correspondence relates to a donation or legal matter subject to the seven-year retention schedule above.

Marketing communication preferences and opt-out records are retained indefinitely so that we can honor your preferences if you contact us again in the future.

When personal information is no longer needed and retention is not required by law, we will delete or de-identify it.

7. Children's Privacy

PCF's website is not directed at children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have inadvertently collected such information, we will delete it promptly. If you believe a child under 13 has submitted personal information to us, please contact us using the information in Section 8.

9. Updates to This Policy

PCF may update this Privacy Policy from time to time. When we make material changes, we will post the revised policy on our website with an updated effective date. For significant changes, we will provide additional notice to donors on file. We encourage you to review this policy periodically.
